Privacy Notice

1. Who is responsible

RECAP, whose contact details appear above, is the controller for RECAP TOUR registration and licensing data. For personal-data matters, contact info@recap-tour.com.

2. The information we use

Trial registration requires Name and Company. Email and Telephone are optional. Registration cannot be completed without the required information.

The application sends a device identifier (fingerprint), computer name, operating system and version/build. We keep license details, start/expiry dates, activations, Terms/Privacy versions and operational/security logs, such as IP addresses and communication times. We also process information you send for support.

Information comes from you, the application and server operations. Trial registration does not include uploading your project files.

3. Why we use it

• Providing a Trial and license: registration, activation and support. Where you contract personally, the basis is processing necessary to perform our agreement (GDPR Article 6(1)(b)).
• Corporate users and license protection: managing corporate licenses, security and preventing abusive repeat Trials, based on RECAP’s legitimate interest in providing and protecting the service (GDPR Article 6(1)(f)).

Providing an email address or acknowledging this notice does not constitute marketing consent.

The server automatically checks expiry, permitted seats and previous Trial use for the device/trial cycle. A failed check may prevent activation or use. You can ask support for human review and correction.

4. Who can access it

Access is provided to authorised RECAP personnel and necessary hosting, network protection, backup and support providers for their respective services. Where providers act on our behalf, appropriate data-protection contractual terms are required.

If a provider processes data outside the European Economic Area, that transfer must be covered by an applicable adequacy decision or other lawful safeguards, such as the European Commission’s standard contractual clauses. 5. How long we keep it

Retention depends on the purpose of each record:

• Registration and license records: for the duration of the Trial or license relationship and for as long afterwards as needed to resolve a pending support request or dispute.
• Device fingerprint: while needed to validate an active license or enforce the one-Trial-per-device rule for the applicable trial cycle; this need must be reviewed when that cycle closes or changes.
• Security logs: for the time necessary to detect and investigate incidents, taking account of when incidents can reasonably be discovered and whether an investigation remains open.
• Acceptance and support records: while needed to evidence the applicable terms, resolve the request or establish, exercise or defend relevant legal claims within applicable limitation periods.
• Backups: until replacement in the recovery rotation. The rotation must be limited to recovery needs; after restoration, applicable deletions must be reapplied.

Data no longer needed for these purposes must be deleted or irreversibly anonymised. Retention must not be extended solely because storage remains available.

6. Your rights

Subject to GDPR conditions, you can request access, rectification, erasure, restriction or portability of your data. You may object to processing based on legitimate interests on grounds relating to your particular situation.

Send requests to info@recap-tour.com. We respond within one month; if a lawful extension is needed, we inform you within that month.

For personal-data matters, contact info@recap-tour.com. If you believe that the processing of your data infringes data-protection law, you have the right to lodge a complaint with the Hellenic Data Protection Authority or another competent supervisory authority.

Material changes to this notice will be communicated appropriately.
